We are seeking a Sponsorship Coordinator who supports the day-to-day planning, and stewardship of corporate sponsorships for the Nashville Area Chamber of Commerce. This role plays a critical part in assisting with sponsorship fulfillment tied to events, programs, publications, and initiatives that advance the Chamber’s mission. The coordinator ensures excellent sponsor experience through strong organization, communication, and execution.
Key Responsibilities: Sponsorship Sales Support & Coordination
- Assist with tracking, and fulfillment of sponsorship packages for Chamber events, programs, and initiatives
- Prepare sponsorship proposals, agreements, invoices, and fulfillment summaries
- Maintain accurate sponsor records in CRM and financial systems
- Sponsorship invoicing for New, Renewals and Trades
- Responsible for keeping the Sponsorship Workbook updated for current and accurate sponsorship information
- Monitor sponsorship trades for renewals, including updating agreements to be signed by the sponsor and Regional Business Development Manager
Sponsor Fulfillment & Stewardship:
- Notify sponsors of event information (date, time, venue, member ticket price, promo codes, details for vendor table, event set-up times, signage, and sponsor brand items giveaways, options to speak about when applicable.)
- Serve as a day‑to‑day contact for sponsors, responding to inquiries and ensuring timely communication
- Assist with sponsor acknowledgements, thank you communications, and post‑event reporting
- Help ensure sponsor objectives are met and relationships are strengthened
- Assist sponsors with registration of sponsor guests, if needed
Event & Program Support:
- Work with events team and program leads to coordinate sponsorship assets with event logistics
Administrative & reporting Duties:
- Track sponsorship revenue, inventory, and fulfillment deadlines
- Generate reports on sponsorship performance
- Responsible for getting updated logos and branded material adding them to Work zone.
