Administrative Assistant

Position Description / Responsibilities

Key Responsibilities:

  • Manage calendars and schedule appointments for the brokers.
  • Prepare and organize necessary documentation for mortgage applications and real estate transactions.
  • Handle online correspondence and respond to inquiries.
  • Assist in preparing marketing materials, including mailouts, flyers, newsletters, and online content.
  • Skilled in Social Media.
  • Maintain an organized filing system for client records, contracts, and documents.
  • Coordinate and track the progress of mortgage applications and real estate deals.
  • Conduct market research and gather data to support brokers in decision-making.
  • Assist clients with inquiries and provide updates on their transactions.
  • Collaborate with other team members to ensure all tasks are completed efficiently.

Position Requirements

Qualifications:

  • Associate’s degree or equivalent experience in business administration, real estate, mortgages or a related field preferred.
  • 2+ years of experience in an administrative role, ideally in the real estate or mortgage industry.
  • Proficiency in Microsoft Office Suite (OneDrive, Word, Excel, PowerPoint) and familiarity with real estate software Top Producer.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Ability to work independently and as part of a collaborative team.
